In practice almost no process sits entirely on one side. We start from what has to happen and choose the technology accordingly: where a rule is enough we do not add AI, because a rule is more predictable, cheaper and easier to keep an eye on.

When the system has to interpret information, use company sources or act through authorised tools, we estimate the work in phases and define the checks and responsibilities before implementing it.
Mapping, implementation, testing of the agreed cases, documentation of the system and 15 days of post-launch support included in the project.
The indicative time also depends on access being available, on the quality of the APIs and on the checks required from external suppliers.
The final proposal describes the flows, the tools, the limits and the error cases before anything starts. The start date is agreed separately.
Once the 15 days of included post-launch support end, you can hand Hextern the monitoring, maintenance and ongoing support of the systems in production. The dedicated plans start at €99 per month.
Any third-party services, APIs, licences and usage-based costs are agreed separately.

An AI system interprets: it understands an enquiry, classifies content, extracts information from a document. They often work together: the AI works out what has arrived, the automation moves the process along.
No, and in many cases it is not worth it. Where a process follows clear rules, a rule is more reliable, cheaper and easier to check. We propose AI only where something has to be understood or interpreted, and where error and supervision are manageable.
We connect CRMs, email, calendars, business systems, e-commerce, spreadsheets and services with APIs. The first step is checking whether your current tools can exchange data reliably: we propose a replacement only when the technical limits make the connection fragile or disproportionate.
Yes, and it works on sources you decide: documents, procedures, price lists, pages of the site or data from a business system. The assistant looks for the answer in that material before formulating it, so it answers on what the company actually states rather than on generic information. We agree together which sources are included and which stay out.
The system is designed to stop rather than improvise. When an enquiry falls outside the intended scope, it collects the context (who wrote, what they need, what has already been said) and passes it to a person, who picks it up from there without making the customer repeat everything.
Only through the tools you authorise, one by one, and only for the actions provided for: reading a value, creating a record, preparing a document, booking an appointment. It has no indiscriminate access to company systems, and sensitive or irreversible operations stay behind a human confirmation.
